Other Potential Fees
Some fees apply only in specific situations:
- Disputes: If a customer disputes a transaction and their bank submits a collaboration request querying the legitimacy of the transaction, you will be charged a £15 Collaboration Fee. If a customer disputes a transaction and their bank reverses it by way of a Chargeback, you will be charged a £15.00 Chargeback Fee, in addition to the disputed amount. We will support you in challenging unfair disputes.
FX reference rate
If you process a transaction in a currency other than GBP, we convert it using a reference FX rate provided by Oanda: available here: https://www.oanda.com/foreign-exchange-data-services/en/exchange-rates-api/
Your dashboard shows the FX rate applied to each transaction.
As an example, if you process an International Consumer Card and the transaction is € 10.00, then the following fees will apply:
- Transaction converted into GBP. E.g. if the FX rate is €1 = £0.8741, the transaction will be converted into £8.74
- The FX Markup Fee of 2.50% will be applied, i.e. £0.22
- The International Consumer Card Fee of 3% + £0.20 will be applied, i.e. £0.46
- As a result, the total fees for this transaction will be £0.68
4. Getting your money – Settlements
This section explains when funds from your sales reach your business bank account.
How it works:
- You take a payment from a customer.
- Ecommpay processes the transaction.
- We deduct our fees.
- We send the remaining amount (your settlement) to your nominated UK business bank account.
Settlement speed and cut-off times
Your settlement speed depends on when you process your transactions. Our daily cut-off time is 09:00 PM (UK time). This means that transactions are formed into batches from 09:01 PM to 09:00 PM of the following day.
Transactions Processed... |
Money Arrives in Your Bank Account... |
Before 09:00 PM on Monday - Friday |
Five business days after processing the transaction (T+5) |
After 09:00 PM Friday, or on Saturday/Sunday or a UK Bank Holiday |
5 business days from the business day that follows Saturday/Sunday or the UK Bank Holiday |
- "T" refers to 09:00 PM of the day the transaction takes place.
- "Business Day" means Monday to Friday, excluding weekends and UK bank holidays.
Example: A payment you take at 3:00 PM on Tuesday will be settled to your bank account on the following Tuesday. A payment taken at 11:00 PM on Tuesday (after the cut-off) will be included in Wednesday's batch and settled on Wednesday.
In rare cases, we may temporarily hold funds for security or anti-fraud checks. If this happens, we’ll explain why and keep you informed throughout.
You will be aware of the amount that needs to be settled from the financial statements, which we will provide to you each business day. The statement will cover the previous day. If Monday is a business day, the Monday statement will cover Friday, Saturday and Sunday. For example, on Friday (if a business day) you will receive the statement for Thursday.
5. Key risks and your responsibilities
- Chargebacks: You are liable for the full value of chargebacks. Keeping clear records, receipts, and proof of delivery can help protect you.
- Data Security (PCI DSS): You are responsible for handling cardholder data securely. Our tools are designed to support compliance and reduce risk.
- Held Funds: To protect the payment system, we may temporarily hold your funds if we detect unusual transaction patterns or a sudden spike in your transaction values. This is a security measure, and we will work with you to resolve it quickly. We may in certain instances also hold funds where we believe your services exceed certain permissible thresholds or limits, for example chargeback or fraud limits.
6. Key limits and thresholds
- Transaction Limits: We may set transaction value and volume limits based on our risk mitigation measures.
- Chargeback and Fraudulent Transaction Thresholds: You are expected to operate within acceptable chargeback and fraud levels. The thresholds have been set out here: https://ecommpay.com/fraud-and-chb-thresholds/
7. Ending our agreement
You can request to close your account at any time by giving 30 days’ notice to our customer support team. Ecommpay is required to provide 90 days’ notice of termination in the event we wish to terminate the agreement.
There may be certain limited instances in which we can terminate the agreement earlier. In limited circumstances – such as fraud, money laundering, or serious legal breaches – we may terminate immediately. You will be liable for all sums and additional costs if we suffer any losses where we have to immediately terminate for these reasons.
